The short answer
Client notes in a CRM are a running record of every call, meeting and decision, kept against the client rather than in someone’s notebook. In Gather360 each note is timestamped and shows who wrote it, newest first. Adding a note also moves the client up the home screen’s recently active list, so the team can see who is being worked on.
Why it matters
“What did we last say to them?”
It is the question that costs small businesses the most time. The answer is usually in an email thread, a notebook or the head of whoever is on holiday.
With notes on the client, the answer is one click away. Read the last three notes before you pick up the phone and you sound like you have been on top of it all along.
- Every note shows the date, the time and who wrote it
- Newest first, so the latest news is at the top
- A note can be about a particular contact at the client
What people write down
A note is free text. Keep it short; the timestamp does the rest.
Calls
Who you spoke to and what they said. Two lines is plenty.
Meetings
What was agreed, and anything you promised to send.
Prices and terms
The rate you quoted or the discount they asked for, so nobody quotes differently next time.
Decisions
They went with a competitor, they are on hold until April, they want weekly updates.
See who has been busy with whom
The home screen lists recently active clients, with what last happened and how long ago. Add a note and that client moves to the top.
On the clients list, sort by last touched to find the other end: the clients nobody has written anything about in months.

Questions people ask
Does Gather360 log my emails and calls automatically?
No. There is no email or phone integration. Notes are written by you, which keeps them short and to the point.
Can I edit a note?
No. Notes are a record of what happened, so they are not edited. If something changes, add a new note. A note added in error can be deleted.
Who can see notes?
Everyone on your team can read every note on every client. Nobody outside your account can see them.
Is there a limit on notes?
No. Notes are unlimited on every seat.
Can I attach a file to a note?
Files go on the client’s Documents tab rather than on a note. Each document shows who added it and when.
