A simple CRM for small accountancy and bookkeeping practices
Most of the job is waiting for something from a client. Gather360 keeps every chase, every conversation and every signed letter against the client, so the whole practice can see where each one stands.

The short answer
A small practice needs a CRM that tracks each client, the people you deal with, what you have asked them for and when it is due. Gather360 does that with clients, contacts, dated notes, follow-ups and private documents for £12.99 + VAT per user a month. It is not practice management software: it does not calculate filing deadlines, record time, bill or link to HMRC.
Your week
Chasing records is half the work
The bank statements for March. The receipts that are “in a box somewhere”. The answer to the question you asked about the van in January. The signed accounts that need to come back before you can file.
Each chase is a follow-up on the client in Gather360, with a due date, a type (call, email, meeting) and a name on it. The home screen shows what is overdue first, so the client who has gone quiet is in front of you every morning until they reply.
- Set your own due dates for the chases that lead up to each deadline
- High priority for anything close to a filing date
- Tick it off when the records arrive, and set the next step
Engagement letters and signed paperwork, filed per client
Upload the signed engagement letter, the letter of authority, the ID you collected and the signed accounts, and file each against the client. Documents are stored privately, show who uploaded them and when, and are there for anyone in the practice who needs them.
Gather360 does not run your anti-money-laundering checks or tell you what to keep. It gives you one tidy place to keep what you have collected, per client.
How practices tend to set it up
The demo is set up as an HR consultancy; it works the same way for an accountancy practice. Your tags do the translating.
Year end
Tags such as Year end March or Year end December, so you can pull up everyone due at once.
Services
Accounts, Payroll, VAT quarterly, Self assessment, Bookkeeping.
Status
Records missing, Awaiting signature, Engagement letter due. Remove the tag when it is sorted.
Contacts
The director, the person who does the books, and the one who actually answers the phone.
Notes
What the client told you about the year, dated and signed, so the next person on the file knows.
Roles
Partners as owner or admin, staff as users. Only the owner sees billing and can delete a client.
Anyone in the practice can pick up a client
When the person who looks after a client is off during the busy season, nothing should wait for them to come back. Every note, contact, follow-up and document lives on the client, and everyone on the team can see them.
Search across clients and contacts finds the right file by company or person. Reassign the open follow-ups and carry on.
Plainly: what it is and is not for a practice
Gather360 does
- Clients, contacts and a dated note history
- Follow-ups for records, signatures and questions
- Engagement letters and signed documents filed per client
- One shared view of who owes you what
Gather360 does not
- Calculate statutory deadlines or pull Companies House data
- Record time, bill or send invoices
- Connect to HMRC, Xero, QuickBooks or anything else
- Provide a client portal or e-signatures

Questions people ask
Is Gather360 practice management software?
No. It does not calculate deadlines, track time, bill or connect to HMRC or accounting software. It is a simple CRM for client relationships, chases and documents, which some small practices use alongside their other tools.
Will it remind me about filing deadlines?
Only the ones you add. You create follow-ups with your own due dates, and the home screen shows what is overdue and due this week. It does not work out statutory dates for you.
Is client data kept securely?
Data is hosted in the UK, documents are stored privately rather than as public links, and each customer’s data is kept separate from every other customer’s. We act as processor under UK GDPR.
Can I bring my client list over from a spreadsheet?
Yes. Send your spreadsheet to hello@gather360.co.uk and we will help you get it in. See also our guide on moving from Excel to a CRM.
What does it cost?
£12.99 + VAT per user a month, or £129.90 + VAT per user a year. Every feature is included. 30-day free trial, no card.
