Gather360 home screen for an HR consultancy showing overdue review dates and upcoming meetings

The short answer

A small HR consultancy needs a CRM that tracks each client business, the managers you advise, a dated record of what you said and the deadlines you cannot miss. Gather360 does that with clients, contacts, timestamped notes, follow-ups and private documents for £12.99 + VAT per user a month. It is not an HR system for your clients’ employees; it manages your relationship with the businesses you advise.

Your week

The dates are the job

An appeal window closing. A phased return due its four-week review. A consultation that has to start on a certain day. A right-to-work recheck before a share code runs out. Miss one and the client’s position gets worse.

Each of those is a follow-up in Gather360, on the right client, with a due date, a priority and the consultant who owns it. The home screen shows what is overdue first, then what is due this week, across every client you look after.

  • Meetings, calls and deadlines on one list, overdue at the top
  • Mark the urgent ones high priority and filter to just those
  • Everyone sees the whole team’s list, so cover is easy

A record of the advice you gave, and when

When a manager rings on Friday afternoon about an employee who has not turned up, the conversation matters later. What did you advise? Did they follow it?

Write it as a note on the client. Notes are timestamped and show who wrote them, so the file builds up in order. When a colleague picks up the case next week, they read the notes and carry on without ringing you on holiday.

Investigation notes, contracts and handbooks filed against the client

Upload the investigation notes, the consultation pack, the signed contract template and the handbook that needs refreshing, and file each against the client it belongs to. Documents are stored privately, not as public links.

Keep your client’s own employee records in their HR system. Gather360 is for the documents you produce and the relationship you manage.

  • Documents show who uploaded them and when
  • Users can add and view documents; only the owner can delete a client
  • UK hosted, with your account’s data kept separate from every other customer

How consultancies tend to set it up

Tags for the arrangement

Retainer, Pay as you go, Prospect, Retainer lapsed. Filter your book of clients in a second.

Tags for live work

Disciplinary live, TUPE, Redundancy consultation, Handbook due. Take them off when the work ends.

Contacts per client

The MD who signs the retainer, the office manager who rings you, the finance contact.

Renewals

A follow-up a month before each retainer is due for review, so renewals are a conversation, not a surprise.

Questions people ask

Is Gather360 an HR system?

No. It does not hold your clients’ employee records, absence or payroll. It is a CRM for your consultancy: the businesses you advise, the people you deal with there, your notes, deadlines and documents.

Can I keep case notes about individual employees?

You can write notes on a client, and many consultants record advice given on a case. Think about what you need to keep and for how long; our guide on CRM and UK GDPR covers the basics.

Where is the data stored?

In the UK. Each customer’s data is kept separate from every other customer’s. We act as processor for the data you put in.

Will it remind me by email when a deadline is due?

Not at the moment. Deadlines show on the home screen and the follow-ups list, overdue first. Most consultants keep Gather360 open in a browser tab.

What does it cost?

£12.99 + VAT per user a month, or £129.90 + VAT per user a year. Every feature is included, and the 30-day free trial needs no card.
