Gather360 home screen for a recruitment agency with overdue CV feedback and invoice chases

The short answer

For a small agency, the best simple CRM is one that tracks the client side well: client companies, hiring managers, notes on every call and dated follow-ups for feedback, terms and invoices. Gather360 does exactly that for £12.99 + VAT per user a month. It is not an ATS and holds no candidate database, so use it alongside your job board or ATS, not instead of it.

Your week

Monday you send three CVs. Thursday you are still waiting.

Most desks lose more to silence than to rejection. The hiring manager opened one CV out of three, the second-stage panel moved again, and the reference request is sitting in someone’s inbox.

In Gather360 each of those is a follow-up on the client, with a date and a consultant’s name on it. The home screen opens on what is overdue, so “chase Derek for CV feedback” is in front of you on Thursday morning, not remembered on Friday afternoon.

  • Follow-ups typed as call, email, meeting or other, so you can batch your calls
  • High priority for the offer that could be lost to a counter-offer
  • Tick it off and set the next one in the same minute

Terms, rebates and the argument you had in June

Recruitment disputes are nearly always about what was agreed. The fee, the rebate period, the temp-to-perm transfer clause, the four night shifts that were 11.5 hours, not 12.

Write it down as a note on the client and it is there for good, dated and showing who wrote it. File the signed terms of business against the client as a document, stored privately. When a client says they never agreed eight weeks, you can find the signed copy in seconds.

  • Notes are timestamped and show who wrote them
  • Signed terms, rate cards and job specs filed against the client
  • Tag clients Terms unsigned so nobody sends CVs before they are signed

How agencies tend to set it up

Nothing here is built in as a recruitment feature. It is ordinary Gather360, named the way a recruiter thinks.

Clients

One record per hiring company, with sector, switchboard, website and address.

Contacts

Hiring managers, HR, the person who approves timesheets and the one who pays invoices.

Tags

PSL, Perm, Temps, Contract, Terms unsigned, Invoice overdue. Your admin keeps the list tidy.

Follow-ups

Feedback chases, interview confirmations, reference requests, invoice chases, PSL renewals.

Documents

Signed terms of business, rate agreements and job specs for each client.

Team

Consultants and resourcers as users; whoever runs the business as owner.

When a consultant leaves, the clients stay

Small agencies feel this more than anyone. A consultant moves on and takes the client relationships in their head and their phone.

With Gather360 the history belongs to the business. Notes, contacts and follow-ups live on the client, and everyone on the team can see them. Reassign the open follow-ups and the next person picks up where the last one stopped. The owner decides who joins the account and who leaves it.

Plainly: what it is and is not for a recruiter

Gather360 does

  • Client companies and the contacts who hire
  • Notes on every call, dated and signed
  • Follow-ups for feedback, terms, references and invoices
  • Signed terms and specs filed against the client

Gather360 does not

  • Store candidates or parse CVs (it is not an ATS)
  • Post jobs to boards or send email
  • Track placements, fees or timesheets as records
  • Run a sales pipeline with deal values

Questions people ask

Is Gather360 an ATS?

No. It does not store candidates, parse CVs or post jobs. It tracks your client companies, hiring contacts, notes, follow-ups and documents, and works alongside whatever you use for candidates.

Can I keep candidate details in notes?

You could, but we would not recommend it. Candidates belong in a system built for them, with its own retention rules. Keep Gather360 for the client relationship.

Can I see which consultant owns which follow-up?

Yes. Every follow-up has an assignee, and everyone on the team sees the whole team’s list, so cover is easy when someone is off.

Does it track fees or placements?

Not as records. Many agencies note the agreed fee and rebate on the client and file the signed terms as a document. There is no invoicing or placement tracking.

How much does it cost for a team of four?

£12.99 + VAT per user a month, so £51.96 + VAT a month for four people. Or £129.90 + VAT per user a year. 30-day free trial, no card.
