Do I need a CRM?

Maybe not yet. Here is how to tell, from people who make one and would rather you bought it for the right reasons.

The short answer

You probably need a CRM when more than one person deals with the same clients, when follow-ups are being missed, or when you cannot quickly answer "what did we last say to them?". If you work alone with a handful of regular clients and nothing slips, a spreadsheet or notebook is fine for now. The trigger is lost work, not business size.

Five signs you need one

If two or more of these sound familiar, a CRM will probably pay for itself.

Follow-ups slip

Quotes go unchased, call-backs get forgotten, renewals arrive as a surprise.

Two or more people

Several of you speak to the same clients and nobody is sure who said what.

History lives in inboxes

The record of a client is spread across emails, phones and memory.

Someone leaving would hurt

If one person went off sick tomorrow, their clients would go quiet.

Finding things takes time

Looking up a phone number or the last note means opening three places.

Three signs you can wait

A CRM only helps if it gets used. These are good reasons not to bother yet.

You can probably wait if…

  • You work alone with a small number of regular clients
  • Nothing has slipped in months and your diary covers the follow-ups
  • Most of your work is one-off sales you never need to chase again

Try this first

  • One spreadsheet: a row per client, a "next action" and a "due" column
  • Sort it by due date every Monday morning
  • If you stop sorting it, that is your sign to move to a CRM

What a small business actually needs from a CRM

Most small firms need four things, not forty:

  • One record per client, with the people you deal with there
  • Dated notes showing what was said and by whom
  • Follow-ups with a due date and an owner
  • Somewhere to file the contract, quote or letter that goes with it

Pipelines, email sequences, lead scoring and dashboards are useful for sales teams. If you are not one, you will pay for them and ignore them. Our guide to the best CRM for a small UK business covers when the bigger tools make sense.

If you decide yes

Start with ten clients, not your whole database

Put in the ten clients that matter most and the next thing you owe each of them. Use it for two weeks. If you open it every morning, add the rest.

Gather360 has a 30-day free trial with no card, so you can do exactly that before paying anything. It is £12.99 + VAT per user a month after.

Questions people ask

Is a CRM worth it for a one-person business?

Sometimes. If you juggle lots of clients and things slip, yes. If you have a few regulars and a good diary, a spreadsheet is fine. See our guide to a simple CRM for sole traders.

How many clients before I need a CRM?

There is no magic number. It is less about count and more about whether follow-ups get missed and whether more than one person needs the same information.

What is the cheapest way to start?

A free spreadsheet, kept properly. When that stops working, a simple CRM like Gather360 costs £12.99 + VAT per user a month after a 30-day free trial.

Will a CRM take long to set up?

A simple one should not. With Gather360 you sign up, add a client and you are using it. If you have a spreadsheet to bring across, email it to us and we will help.

What if my team will not use it?

Then it will not help. Pick something simple enough that it is quicker than the old way, and start with one habit: open it every morning and clear what is overdue.
