How much does a CRM cost in the UK?

Most CRMs charge per user, per month. The headline number is only part of it: billing terms, add-ons and VAT decide what you actually pay.

The costs that are easy to miss

Annual versus monthly billing

Many headline prices assume you pay for a year up front. Pipedrive Lite, for example, is £14 a seat a month billed annually but £24 billed monthly, according to its pricing page on 27 October 2026. Check which figure you are looking at, and whether an annual plan can be cancelled part way.

Add-ons

Some features are sold separately. Pipedrive lists add-ons such as LeadBooster (from £32.50) and Campaigns (from £13.33), and Capsule lists a Marketing add-on from £7 a month, all on their pricing pages on 27 October 2026.

Promotions that end

A discounted first year is common. HubSpot’s Starter price on 27 October 2026 was labelled as a limited-time offer. Find out what the price becomes afterwards.

Tier jumps

If the one feature you need is on a higher tier, every user pays for that tier. Read the comparison table before you commit.

Setup and onboarding

Some larger CRMs offer or require paid onboarding on higher plans. Ask before you sign, and budget for your own time setting up and moving data across.

VAT

UK business software usually shows prices before VAT. The standard rate is 20% (GOV.UK VAT rates). If your business is VAT registered you can normally reclaim it; if not, it is a real cost.
